Asite Playbook

Turning repeated client requests into a scalable project delivery product

Multiple clients were requesting better project information delivery, workflow management, and collaboration tools. I identified a recurring pattern, defined the product opportunity, and successfully pitched a scalable solution to executive stakeholders.

At a Glance

My Role

Customer discovery, product definition, workflow modelling, early product architecture and executive stakeholder alignment.

Product Type

Enterprise SaaS, Common Data Environment, project delivery and information management platform.

Users

Project Information Managers, project managers, contributors, reviewers, directors and delivery teams.

Key Contribution

Turned repeated client requests into a scalable project delivery product inside Asite’s Common Data Environment, gaining executive support for development.

Repeated client requests revealed a product opportunity

Multiple clients were asking for improved project information delivery and collaboration inside Asite’s Common Data Environment. I recognised this as a recurring pattern and identified the opportunity to turn it into a scalable product capability.

The Opportunity

Multiple clients were asking for better project information delivery and workflow management.

The Challenge

Existing processes were difficult to configure, track and connect to controlled project information.

The Ambition

Create a scalable project delivery product inside the Common Data Environment.

Bespoke request or scalable product capability?

The key decision was whether to treat these as ongoing custom work or build a configurable project delivery layer. I recommended the latter, a scalable solution that would reduce duplication while serving multiple clients efficiently.

Bespoke risk

Building only for one client could create fragmented features and product debt.

Reusable pattern

The same underlying need appeared across multiple client conversations.

Product opportunity

A configurable delivery model could add value across the wider platform.

My Role:Turning client signals into product direction

I led discovery with clients to understand their real needs, mapped workflows and pain points, defined the product architecture, and created early direction that could be evaluated by stakeholders.

Discovery

Spoke with clients to understand the underlying workflow and delivery problems.

Evaluation

Assessed whether the request was bespoke, reusable or commercially scalable.

Architecture

Shaped how stages, tasks, evidence, documents and approvals could connect.

Alignment

Pitched the concept and helped move it into product design and development.

Designing the Core Experience

I designed a configurable project delivery layer that connected seamlessly with the existing Common Data Environment.

Core product capabilities

The concept connected project delivery planning with the wider CDE ecosystem. The product had to support configuration, collaboration, document association, task progress and governance without becoming too rigid for real project delivery.

Information Delivery Plans

Configurable plans to structure project information delivery.

Project Matrix

A high-level view of stages, functions, tasks and progress.

Task Management

Deliverables, owners, statuses, guidance and review context.

CDE Documents

Connect tasks to controlled documents and project evidence.

Forms and Evidence

Associate forms, files and supporting information with task completion.

Stage Gates

Support project progression, hold points and delivery governance.

Contributor Views

Task-focused views for teams working through assigned deliverables.

Progress Visibility

Help stakeholders see what is complete, blocked, overdue or at risk.

Making the concept tangible

I created a comprehensive clickable prototype and visual model to bring the concept to life. This helped stakeholders and engineering clearly understand how the new project delivery layer would integrate with the Asite ecosystem.

What this project demonstrates about my approach

Playbook demonstrates my ability to spot patterns in client requests, turn them into scalable product opportunities, and gain executive alignment.

Customer Discovery

Worked with clients to understand the real problem behind repeated requests.

Product Judgement

Assessed whether the need was bespoke, reusable or scalable.

Workflow Modelling

Structured stages, tasks, responsibilities, evidence and progress.

Platform Thinking

Designed the concept as part of the wider CDE ecosystem.

Executive Alignment

Pitched the product direction and secured leadership support.

Scalable Direction

Helped turn customer signals into a product opportunity for the wider platform.
